Privacy Policy

This Privacy Policy explains how Skanner collects, uses, discloses, retains, and protects information in connection with the Skanner website, early access activities, customer accounts, and Skanner services. Skanner is operated from Miami, Florida, United States, and is intended primarily for business users in the United States.

This is written around Skanner's product model: customers may submit merchant application materials and supporting documents for document intelligence and forensic analysis. Those materials may contain personal, financial, business, identity, and other sensitive information.

1. Scope

This Policy applies to information collected through skanner.ai and related Skanner services, communications, forms, customer accounts, and document-analysis workflows. It does not apply to third-party websites or services that Skanner does not control.

Skanner's services are designed for business and professional use. They are not directed to children, and Skanner does not knowingly solicit personal information from children under 13.

2. Information We Collect

Merchant Documents and Customer-Submitted Content

Customers may upload merchant application packages and related records for analysis. Depending on the submission, these materials may include business records, bank or financial documents, government-issued identification, utility or address documents, ownership information, contact information, signatures, images, metadata, and other information concerning merchants, owners, principals, authorized representatives, or other individuals.

Customers control what they submit to Skanner and are responsible for having the authority, permissions, notices, and consents required to provide that information to Skanner for the purposes described in this Policy and the applicable Terms.

Information Collected Automatically

When you use Skanner, we may automatically collect technical and usage information such as IP address, browser type, device and operating-system information, referring pages, pages or features used, timestamps, diagnostic information, security events, and application logs. We may use cookies and similar technologies for essential functionality, security, preferences, analytics, and service improvement.

Customer Supplied Information

  • Contact and business information, such as name, business email address, telephone number, company name, job role, and information submitted through Early Access, contact, support, or account forms.
  • Account and authentication information used to create, secure, and administer a Skanner account.
  • Customer communications, support requests, feedback, survey responses, and other information you choose to provide.
  • Billing and transaction-related information when paid services are introduced. Payment-card information may be processed by a payment service provider rather than stored directly by Skanner.

3. How We Use Information

Skanner may use information for the following business purposes:

  • Provide, operate, secure, maintain, troubleshoot, and support the Skanner website and services.
  • Analyze customer-submitted merchant documents and produce document-intelligence findings, forensic indicators, cross-document observations, and related outputs.
  • Create and administer accounts, communicate with customers, respond to inquiries, and provide service notices.
  • Detect misuse, security threats, fraud, abuse, technical failures, and attempts to interfere with the service.
  • Comply with applicable U.S. legal obligations, lawful process, and enforceable requests from governmental authorities.
  • Develop, test, evaluate, calibrate, validate, improve, and expand Skanner's proprietary systems and capabilities.

Use of Customer-Submitted Documents to Improve Skanner

Customer-submitted merchant documents and information derived from them may be used beyond the immediate analysis requested by the customer to develop and improve Skanner. This may include improving document-classification methods, forensic detection techniques, deterministic rules, scoring and evaluation methods, artificial-intelligence or machine-learning components, quality controls, test methods, and other proprietary Skanner capabilities.

Where appropriate for the development purpose, Skanner may use extracted features, derived signals, annotations, information with identifying details removed, aggregated information, or representative document examples. Skanner may also retain source material when reasonably necessary to investigate failures, validate improvements, reproduce results, improve document analysis, or protect the integrity and security of the service.

Skanner does not characterize customer-submitted merchant documents as being used only to perform a single requested analysis. Product improvement and development are expressly included among Skanner's permitted uses.

4. How We Disclose Information

Skanner may disclose information to service providers and contractors that support hosting, infrastructure, security, communications, analytics, customer support, payment processing, software development, or other operational functions. Such providers receive information only as reasonably necessary for the services they perform and are subject to applicable contractual or legal obligations.

Skanner may also disclose information when reasonably necessary to comply with law or legal process; protect the rights, safety, security, or property of Skanner, its customers, or others; investigate misuse or security incidents; enforce agreements; or complete a merger, financing, acquisition, reorganization, sale of assets, or similar business transaction.

Skanner does not sell personal information in exchange for money as part of its ordinary business model. If Skanner's practices materially change, this Policy will be updated before the new practice is implemented where required by applicable law.

5. Cookies, Analytics, and Similar Technologies

Skanner may use cookies, local storage, pixels, analytics tools, and similar technologies to operate the service, remember preferences, understand use of the website and application, measure performance, improve functionality, and protect accounts and systems. The specific technologies and providers in use may change as the service develops.

Users can control many browser-based cookies through browser settings. Blocking essential technologies may prevent parts of the service from functioning correctly.

6. Data Retention

Skanner retains information for as long as reasonably necessary for the purposes described in this Policy, including providing the service, maintaining business and security records, resolving disputes, complying with legal obligations, enforcing agreements, and developing and improving Skanner.

Retention may vary by data type and purpose. Customer-submitted documents or derived information may be retained after completion of an individual analysis when reasonably necessary for product development, validation, security, auditability, legal compliance, or other purposes described in this Policy. Skanner may also retain information with identifying details removed or aggregated information for longer periods where permitted by applicable law.

7. Security

Skanner uses administrative, technical, and physical safeguards designed to protect information appropriate to the nature of the information and the service. No method of electronic transmission or storage can be guaranteed to be completely secure.

Because merchant submissions may contain sensitive identity and financial information, Skanner's production security controls, access controls, infrastructure, encryption practices, incident procedures, and retention controls will be maintained and revised as the commercial platform develops.

8. U.S. Privacy Rights

Depending on where a U.S. resident lives and whether a particular state privacy law applies to Skanner or the relevant processing activity, the individual may have rights concerning personal information, such as rights to request access, correction, deletion, or a copy of certain information, or to opt out of certain processing activities.

Skanner will honor privacy rights required by applicable U.S. law. A request may require identity verification, and certain information may be retained or a request may be denied where an exception or other legal basis applies. Authorized-agent requests will be handled where required by applicable law.

Privacy requests may be submitted to privacy@skanner.ai. Skanner may provide additional state-specific notices if and when they become applicable to the business.

9. Florida Data Security

Skanner is a Florida based company and may acquire, maintain, store, or use information that falls within Florida's protections for confidential personal information, including government identification and certain financial-account information. Skanner will maintain data-security and incident-response practices designed to satisfy applicable Florida requirements as the service operates.

10. U.S.-Focused Service

Skanner is operated from the United States and is intended primarily for U.S. business use. This Policy is designed around applicable U.S. law and Skanner's U.S. operations. Skanner does not represent that the service is designed to satisfy privacy or data-protection requirements of every non-U.S. jurisdiction. Customers are responsible for determining whether their use of Skanner is lawful in the jurisdictions relevant to them and the information they submit.

11. Third-Party Services and Links

Skanner may link to or integrate with third-party websites, platforms, infrastructure providers, or services. Their privacy practices are governed by their own policies, and Skanner is not responsible for third-party services it does not control.

12. Changes to This Policy

Skanner may update this Privacy Policy as the website, commercial platform, data practices, or applicable law changes. Material changes will be communicated in a manner appropriate to the change, which may include posting an updated Policy, updating the effective date, providing an in-service notice, or contacting customers.
